Complaint and Adjustment Letter

This assignment teaches us how to properly write a complaint letter to companies about problems that we had with certain products or issues about their companies. The adjustment letter lets us be in the company’s position and show what the proper way to write back to the customer or the person who had sent the complaint letter. This is another technical communication showing how to communicate between companies and the people who complaint about those companies.

Dear Store Manager of Refrigerator Master’s,

I am a head in this project and I have recently purchase a refrigerator to hold some of the experiments I am working on in my lab. I had purchase this refrigerator six months ago for $2000 and it was brand new and was supposed to work for at least ten years according to one of your sales persons in your work place.

Our lab was working on various projects that required this refrigerator and after a few weeks we realized that something in the experiment had gone wrong. We realized that the refrigerator has malfunctioned and the thermostat has broken. The temperature in the refrigerator was not substation to keep these experiments stable and efficient. These mishaps have caused the lab to lose $600 of materials and time.

As you can see this has caused a huge hold back on our due dates for these experiments we should had finished.  I think we would both agree that something should be done.  The lab has contacted the store and asked if anything can be done, but they just answer, “You can reach our store manager here at refrigeratormaster213@gmail.com or send a letter to our address that can be found online, unfortunately he’s not here at the moment.” This is why I am contacting you with this information, to see if anything can be done.

I would like you to send someone to see what the issues are and see if they can fix it, the damages to the experiment will be paid for. If the refrigerator cannot be fixed I would want a refund because the information provided to me when I bought the refrigerator was false.

I was surprised to hear about such an awful incident in your lab Dr. Lee.  We, Refrigerator Master’s apologize for the malfunction in your refrigerator and the broken thermostat that caused your incident. We apologize for all the troubles you had to go to trouble me, but my employees did what they were told when I am not in the store.

We will happily send an employee to the laboratory to check what’s wrong with the refrigerator. If the refrigerator ends up broken we can only refund you for half of the original price because the one month guarantee refund has expired.

The incident must have pushed you and your team a few weeks back so we would also like to pay for the incident and time that was caused by our refrigerator, so the employee that will contact you will also be the one delivering the check of $600.

Your issue is the first one to ever happen to this store and to get you back to our store to buy any other refrigerator we will give you a 25% off the next refrigerator you buy in the future.
